For independent coffee shops

Remember every regular. Fill the wholesale book. Run the schedule without drama.

Single-location coffee shops, micro-roasters, and small cafe groups. Relationships with regulars are the economic engine; wholesale and retail bean sales are the growth levers. We automate operations so the team can stay on the bar.

Serving North America jurisdiction-specific requirements confirmed during scoping

Coffee shops live on throughput and regulars. A good independent shop has 60-80% of daily revenue from customers who come at least weekly. Keeping them, and creating opportunities for them to buy beans for home, book catering, or refer friends, is the entire margin game. Meanwhile, the operational reality is morning rush, staff turnover, equipment maintenance, and the retail bean inventory that gets managed last.

AI-assisted workflows focus on loyalty and regular-customer intelligence (POS-tied recognition and rewards), wholesale and catering order management (systematic outreach, ordering portals, delivery coordination), staff scheduling, and retail bean sales (subscription programs, seasonal releases, cafe-to-home conversion).

Where a carefully scoped workflow may earn its keep.

  1. 01

    Regulars not systematically acknowledged

POS-integrated regular recognition plus loyalty lift per-regular revenue.

  2. 02

    Wholesale book under-managed

Wholesale order coordination, delivery scheduling, and account communication benefit from automation.

  3. 03

    Retail bean sales underperforming

Subscription programs, seasonal release communication, and cafe-to-home upsell automation lift retail revenue.

  4. 04

    Staff scheduling drama

    Standard scheduling automation applies.

  5. 05

Catering inquiries lost to slow response

First-response automation plus structured catering-quote workflow converts more inquiries.

Pattern study

Coffee shop with roasting: wholesale and retail bean subscriptions

A small cafe that roasted its own beans had a wholesale book of 8 accounts and retail subscription of 40 customers. Growth was stuck because owner was buried in operations. We built wholesale order automation (systematic ordering portals, delivery coordination) plus retail subscription management (billing, fulfillment, seasonal release communication). Wholesale book grew to 21 accounts over a year; retail subscriptions to 140. Neither growth was possible at the owner's manual capacity.

Result: Wholesale 8 → 21 accounts; retail subs 40 → 140
